A shipping invoice is a bill from a freight carrier or third-party freight broker like TLI. It details the services provided and their costs, along with standard billing information, such as the invoice due date. Every Less Than Truckload (LTL) or truckload shipment requires an invoice, which is typically sent via our Transportation Management System (TMS) portal, ViewPoint, mail, or email, usually one to two weeks after shipment.


If you're working with a third-party freight broker like TLI, the invoice is sent to them, and you'll make the payment to the broker. If you're working directly with the carrier, you'll handle the charges and resolve any discrepancies directly with them.

What Does It Mean to “Audit” an Invoice?

When you arrange a freight shipment, you're given a quote based on factors like weight, class, and distance. While the quoted and actual costs generally match, discrepancies can arise in about 3–8% of shipments. In these cases, TLI steps in to audit the freight invoice—verifying charges with the carrier through thorough documentation. This process ensures that any additional fees are legitimate before we bill our customers, protecting you from incorrect charges.

Why Might the Freight Bill Be Incorrect?

Several factors can lead to incorrect charges. A typical freight charge consists of three main components:

  • Linehaul: This is based on the zip-to-zip pairing, trailer space occupied, freight class, and density.
  • Fuel Surcharge (FSC): A charge that fluctuates with fuel prices.
  • Accessorials: Additional services like liftgate usage or residential delivery.


TLI addresses these potential issues with a comprehensive process:



  1. Contract Management: We upload your contracts into our TMS. When you quote a shipment, we save the rate and compare it to the actual contract. If dynamic pricing contracts are in place, we save the quoted rate at booking and audit it against the invoice when it arrives.
  2. Density Calculation: Our system’s automatic density calculator ensures correct freight class determination, preventing reclassification fees.
  3. Invoice Verification: If we spot discrepancies in a carrier’s invoice, we address it on your behalf, providing the correct details before you’re billed. This also helps manage cash flow.
  4. Root Cause Analysis: If issues with a specific carrier arise, we investigate and correct the underlying causes to avoid recurring problems.


For FSC, we use a floating scale in our contracts to prevent excessive profits or losses for carriers. If the FSC is incorrect, we handle the issue for you.
When it comes to accessorials, we analyze historical data to identify commonly used services and negotiate these charges down through customized contracts. If you're billed for a service you didn’t use, we’ll dispute it on your behalf.
